General Conditions
Faculty House space requests should be submitted well in advance of the date needed to enable long-term planning and optimal utilization. As a general guideline, requests submitted 3–4 weeks in advance allow for the highest level of service, particularly for events with advanced technology or staffing needs. Requests submitted 2–3 weeks in advance can typically be accommodated for standard use cases. Requests submitted with less than one week’s notice will be addressed based on availability and may be subject to limited support.
Instructional Support will respond to submitted tickets as soon as possible, generally within one business day. If a scheduling conflict arises between requests, full-day curricular sessions and academic events involving students and faculty will receive first priority. When a request cannot be fulfilled, Instructional Support will follow up within 1–2 business days to explore alternate dates or times. Please ensure that all reservation requests include:
- Chartstring for applicable costs
- Event date(s) and time frame
- Headcount estimate
- Layout configuration
- Catering needs
- On-hand tech needs/support for event
- In-person or hybrid (some in person and some remote)
AV & Technology support services are available through Instructional Support. - Name and number of the University officer of administration set to be present at event
Event Support Service
Pre-Event Check
Instructional Support will be checking in on every SPS related booking 30 minutes prior to start to ensure all needs are met for the event.
Full Service Event Support and Reassurance
Includes hands-on support with all event needs and logistics. Please include detailed information in your request ticket so we can best prepare for your event.
Cost
The SPS Complete Meeting Package options bundle Faculty House’s most popular services into one clear package. They can provide a clean and concise estimate with a per-person/per-day pricing structure.
$210 per person | $222 per person with Zoom Setup (stationary camera)*
Cancellation Policy
Please note that last-minute cancellations incur a specified cancellation fee. Any cancellation requests should be directed to the Instructional Support team immediately to initiate the cancellation process.
Technology
Faculty House offers a dedicated technical service team that provides a range of audiovisual (AV) support, including expertise in lighting and equipment rentals. This support is available for both small conferences and large-scale productions.

The Instructional Support team will continue collaborating with administrators to secure and reserve spaces. The Instructional Support team is here to coordinate operations for our clients.
Direct Support
If you encounter any issues with the space, please contact the Faculty House staff, who will be available throughout your event. For any technical problems, reach out to the UEM staff assigned to your event. If a UEM staff member is not present, please consult the Instructional Support staff for additional assistance as we will direct you back to the best point of contact.
Last-Minute Requests
At SPS, we understand that changes may arise at the last minute. Instructional Support and the Earl Hall team will do their best to accommodate reasonable requests. However, University Life requires at least a 10 business day notice for changes going through Facilities and Labor.
